How to use Register¹û¶³Ó°Ôº
is the system for recording student attendance.
This task explains how to use Register¹û¶³Ó°Ôº.
Before you start
Attendance for all students is captured centrally using Register¹û¶³Ó°Ôº.
Attendance refers to all timetabled teaching events deliveredÌýonline or face-to-face.
Card readers are installed at teaching spaces across campus.
- 1. Face-to-face teaching on campus

- Students must ‘tap in’ with their Student ID card each time they attend a face-to-face teaching event on campus. Their attendance is then automatically recorded in Register¹û¶³Ó°Ôº.
- Students can tap in from 20 minutes before the start time of a teaching event and no later than 20 minutes before the class ends.
- If a student forgets or misplaces their Student ID card, Departments should make an effort toÌýmanually correct the students recordÌýin Register¹û¶³Ó°Ôº.Ìý

- Staff can manually recordÌýattendance at their events using Register¹û¶³Ó°Ôº.
- Register¹û¶³Ó°Ôº contains the student lists for all timetabled teaching events.Ìý
- Staff can:
- search for their teaching event,
- select all students on the list,
- deselect those not in attendance

- 3. Online teaching events

- Attendance from online teaching events should beÌýmanually entered into Register¹û¶³Ó°Ôº within a week of the event.Ìý
- You can either do this during the teaching event or download the attendance log and enter it into Register¹û¶³Ó°Ôº after the event.Ìý
- Only the meeting organiser will have access to the attendance list in the online teaching platforms.
- For Microsoft Teams, this list will only be available to download during the meeting. For Zoom and Blackboard Collaborate, it will only be available to download after the meeting has ended.

- 4. Hybrid teaching

- Some studentsÌýwillÌýjoin the session via an online live teaching platform such asÌýZoom, Blackboard Collaborate, MS Teams. Their attendance log will need to be downloaded from the platform and manually entered into Register¹û¶³Ó°Ôº.
- Students attending face-to-face teaching events must ‘tap in’. Their attendance will be captured in Register¹û¶³Ó°Ôº automatically.
- 5. Considerations for students who cannot physically attend

- Attendance recommendations may be specified in a student’s SORA (issued by Student Support and Wellbeing) or reflecting their particular circumstances.
- Tier 4 students are expected to physically attend classes, butÌýindividual circumstances and recommendations in a student’s SORA can be reviewed.
- 6. Tier 4 reporting

- You no longer need to enter additional information into Portico for Tier 4 students (with the exception of PGR students).
- Student Registry Services must be informed if a student is not engaging with their studies.Ìý
- Your relevant departmental administrator should refer Tier 4 non-engagement cases to the Student Immigration Compliance Team atÌývisacompliance.staffquery@ucl.ac.uk.
Note: PGR student data cannot be captured in Register¹û¶³Ó°Ôº as it is not timetabled. The Portico Engagement Monitoring Task is available for you to record confirmation of PGR student engagement. If you have any concerns about one of your student's engagement, you should email the Student Immigration Compliance Team.Ìý
